Press Style Guidelines

This page carries a simple list of do's and don'ts when preparing press release material for submission to news outlets.

Quotations should always follow the style:

Mr Smith said: “This is how it will be.

“Tomorrow we will learn about how to do things properly.”

    or:

“This is how it will be.

“Tomorrow we will learn about how to do things properly,” said Mr Smith.

Note the correct use of punctuation in the above example. It is incorrect to use the style:

Mr Smith said: “This is how it will be.”

“Tomorrow we will learn about how to do things properly.”

    or:

“This is how it will be.”

“Tomorrow we will learn about how to do things properly,” Mr Smith said.

 

Paragraphs must also be broken in quotations if additional attributes are applied to comments. For example:

Mr Smith said: “This is how it will be.

“Tomorrow we will learn about how to do things properly.”

At this point in Mr Smith’s speech, a disturbance was heard from the outer courtyard.

“Because of the disturbances outside, we will continue this session tomorrow,” concluded Mr Smith.

   and not

Mr Smith said: “This is how it will be.

“Tomorrow we will learn about how to do things properly.

“Because of the disturbances outside, we will continue this session tomorrow,” concluded Mr Smith.

• Ensure correct use of time punctuation and format. Always use periods in using a.m. and p.m., e.g.;

10a.m. and 10p.m. and not 10am or 10pm

and at all cost avoid using ‘10a.m. in the morning’ or ‘10p.m. in the evening’.

• Do not use abbreviations in quoted text.
